Prospect Import

Upload a CSV, sync from your CRM, or connect Apollo/Clay for real-time enrichment. InboxFlow accepts any prospect list format and normalizes it to a standard enrichment schema. Duplicates, invalid emails, and role-based addresses are automatically filtered before research begins.

AI Research

For each prospect, Claude AI reads their company website (about page, recent blog posts, press releases), processes recent news mentions, and analyzes available LinkedIn data. Research runs asynchronously — 500 prospects are researched overnight. The research summary for each prospect is stored and used to generate the personalized email content.

Personalized Email Generation

Claude writes a unique first-touch email for each prospect using the research summary. The opening sentence references something specific to their company — a recent hire, a product launch, a stated company priority. The rest of the email follows your approved template, but the opening line is unique per recipient. This is what drives deliverability and reply rates.

Sequence Automation

Three to five follow-up touches are scheduled automatically in n8n based on engagement signals. Touch 2 references the first email. Touch 3 adds a piece of relevant content (case study, article). Touch 4 is a brief "still relevant?" message. Touch 5 closes the sequence with a low-friction exit. Each touch is spaced by configurable intervals (typically 3–5 business days) and pauses automatically on reply.

Reply Detection

Gmail/Outlook API integration detects replies, out-of-office messages, and unsubscribe requests in real time. On positive reply, the n8n workflow triggers: sequence pause, CRM contact update, rep notification in Slack, and a meeting link send (if configured). Negative replies or unsubscribes trigger immediate suppression and CRM tagging.

Reporting Dashboard

A real-time dashboard shows open rate, click rate, reply rate, positive reply rate, and meetings booked per campaign, per sequence step, and per rep. Won't AI-personalized emails still hit spam filters?
The personalization itself is only one factor. Every sequence includes a physical business address and one-click unsubscribe in the email footer. Unsubscribe requests are processed within 10 business days (CAN-SPAM requirement) — InboxFlow does it in real time via automated suppression. Opt-out contacts are synced to your CRM and permanently suppressed from all future campaigns. We also maintain suppression lists for role-based addresses, existing customers, and competitor domains as configured.
