2–3 week engagement · $2,000 credit converts toward follow-on project within 60 days

Before spending $25,000 on AI automation, know exactly what to build, in what order, and why. We run structured discovery across your operations, model ROI on 10–15 automation candidates, and deliver a board-ready implementation roadmap in Notion — ready to execute the day we hand it off.

What You Get

Five structured deliverables handed off in a Notion workspace at the close of the engagement. Everything is yours to keep, share internally, or use with any vendor.

  • Current-State Process Map A visual map of your core business processes (Miro or Lucidchart), covering the 5–8 workflows with the highest automation potential. Presented at the Week 1 review call so your team can correct and validate before we model ROI.
  • AI Opportunity Register (10–15 Candidates) Each candidate includes: the process described, the automation approach, estimated hours saved per month, confidence level, and a rough implementation cost estimate. Scored by effort-vs-impact matrix so you know what to do first.
  • ROI Financial Model (Excel/Google Sheets) A live spreadsheet model you can edit: hours saved × your burdened labor cost = annual savings. Includes payback period calculation, risk adjustment, and scenario toggles. Built for internal business case presentations.
  • Risk & Compliance Register Vendor risk, data residency requirements, HIPAA/SOC2/GDPR considerations flagged per automation candidate. Identifies which workflows require legal review before deployment — protecting you from costly surprises post-build.
  • Notion Workspace — 25 User Stories + Priority Matrix A fully structured Notion workspace with 25 scoped user stories, acceptance criteria, and Tiboh implementation estimates. Includes a priority matrix (urgency × impact × effort), a 60-day price lock on all scoped items, and a suggested phased delivery plan.

How It Works

A four-phase engagement designed for minimal disruption to your team — three hours total of structured time from stakeholders, the rest is on us.

Stakeholder Discovery

We run 5–8 structured interviews with process owners across your key departments (operations, sales, finance, support). Each interview uses a standard process-mapping template: inputs, outputs, volume, error rate, and current tooling. We also request read-only access to your existing tools for direct observation where available.

Opportunity Modeling

Every candidate automation is scored by four criteria: hours saved per month, implementation effort (low/medium/high), strategic impact, and risk profile. We calculate a conservative, base-case, and optimistic ROI for each and populate the financial model with your actual labor cost inputs. You leave knowing which automations pay for themselves in 30 days and which need longer-term justification.

Risk & Compliance Review

We review each automation candidate against your industry's regulatory obligations: data handling, vendor relationships, PII exposure, and auditability requirements. Fintech, healthcare, and legal clients receive an enhanced compliance layer covering HIPAA, SOC 2, and state-level data residency rules. This step protects your legal team as much as it informs your roadmap.

Roadmap Presentation & Handoff

We deliver the complete Notion workspace with 25 scoped user stories, the priority matrix, the ROI model, and the risk register in a 90-minute review session. You receive fixed pricing on every scoped item with a 60-day lock — so you can take the roadmap to your board, secure budget, and return to us without renegotiation. The $3,500 fee converts to a $2,000 credit on any follow-on project booked within 60 days.

Who It's For

This engagement is designed for companies where AI automation is clearly on the agenda, but the specific starting point is unclear.

  • 01 First-time AI buyers who want to make a confident, defensible decision rather than guessing at a starting point with a $20k commitment.
  • 02 Companies currently burning money on Zapier or Make who suspect they're over-paying but haven't mapped what a self-hosted n8n migration would save them.
  • 03 Teams evaluating an AI platform purchase (Salesforce Einstein, Microsoft Copilot, etc.) who want external validation of whether custom automation would deliver better ROI before committing to a multi-year license.
  • 04 Operators who need external validation before making an internal pitch — CFO, board, or owner approval is easier when the business case comes from an objective third party with numbers attached.

Common Questions

What if we're not ready for AI?
That's exactly what the Roadmap is designed to answer honestly. In roughly 1 in 5 engagements, we recommend that a client fix a specific process or data problem before any automation investment — because automating a broken process just fails faster. If that's the finding, we tell you clearly, return a pro-rata fee if appropriate, and document the pre-conditions you'd need to meet. We'd rather earn your trust on $3,500 than take $25,000 for a system that won't deliver.
Can we use the roadmap deliverables with another vendor?
Yes, completely. All deliverables are fully yours — the Notion workspace, the ROI model, the process maps. There is no proprietary format. Many clients use the roadmap to get competitive bids from multiple vendors and then compare. We price our follow-on services to win on merit, not on lock-in. The $2,000 credit is an incentive for continuity, not a penalty clause for leaving.
What's included in the $2,000 credit?
The $2,000 credit applies as a direct reduction to the implementation fee on any follow-on Tiboh project booked within 60 days of roadmap delivery. It applies to the full project fee, not just a deposit. If you book ChatBot Pro at $4,500 within 60 days, you pay $2,500 setup. If you book FlowBuilder at $12,000, you pay $10,000. The 60-day clock starts on the date we deliver the Notion workspace, not the date of the review call.
How quickly do we see results?
The Roadmap itself delivers in 2–3 weeks and its primary output is clarity and a plan — not running automation. Actual automation results begin with the follow-on implementation project. Most ChatBot Pro and InboxFlow implementations go live within 4–6 weeks of kickoff. FlowBuilder and OpenClaw implementations take 8–16 weeks depending on scope. The roadmap is what makes those timelines reliable rather than aspirational.
